Transactional Communications Notice

This draft distinguishes service messages needed for a requested THS account, membership, safety process, or event from optional promotional messages.
This document is public for product and family review. It is not effective and must not be presented as an activated agreement or consent request.
What the consent screen must say
Your choice, in plain language
I understand that THS may send service messages needed for the account, membership, safety, or event activity I request.
- If you decline
- Declining this acknowledgment does not opt the household into marketing and does not stop a message that is necessary to secure or provide a requested service. THS should explain any feature that cannot operate without a reachable guardian address.
- If you later withdraw
- A guardian can reduce messages by changing the underlying service, canceling a registration, or closing an account, subject to messages and records still needed for security, safety, billing, legal, or completed-transaction purposes.
1. Draft status and purpose
This is an operational draft and is not yet effective. It is a notice and acknowledgment, not consent to receive marketing. The sender's legal name, monitored contact, and mailing address must be inserted before activation.
THS uses the guardian's confirmed contact channel for messages that facilitate, complete, secure, or update a service the guardian requested. Student contact should not receive guardian billing or authority messages.
2. Service-message categories
- Authentication links, sign-in alerts, credential recovery, suspected misuse, and other security notices.
- Guardian invitations, verification requests or decisions, consent status, age transitions, restrictions, appeals, and account changes.
- Membership checkout receipts, billing status, renewal or cancellation notices, payment failures, refunds, and changes to an ongoing service.
- Event applications, eligibility, waitlist, registration, ticket, schedule, venue-disclosure, accessibility, pickup, cancellation, safety, and emergency updates for an activity the household requested.
- Support replies, privacy-request updates, legal notices, and material policy or feature changes affecting an ongoing relationship.
3. What this notice does not authorize
This notice does not authorize general promotions, newsletters, sponsor offers, or broad event discovery. Those uses require the separate `marketing_email` or `local_event_email` choice, as applicable.
A service message should not be turned into marketing by placing promotional content first, using a promotional subject, or making promotion the message's primary purpose.
4. Delivery and household controls
THS may use an approved delivery provider to send the message and record delivery, bounce, complaint, and suppression status. Provider acceptance does not prove that a guardian read or received a message.
A guardian must keep the account contact current. THS should provide an authenticated way to change the address and should reverify a new address before sending sensitive information. THS should not include a full date of birth, verification evidence, private report content, or unnecessary exact location in an ordinary email.
5. Ending or limiting service messages
Some service messages are necessary while the related account, membership, request, or registration remains active. A guardian may end the related service or close the account using the approved channel, but THS may still send a final confirmation, urgent safety notice, legally required notice, or message about a completed transaction.
Optional reminders within a service should have a preference control when operations can safely honor one. Marketing unsubscribe controls do not suppress necessary transactional messages.
6. Changes
A material change to message purposes or recipients requires a new version of this notice and any new consent required by law. THS must preserve the separation between transactional and promotional channels in both policy and delivery logic.

These implementation and legal gaps must be resolved before this version can become effective.
- Insert the legal sender name, physical mailing address, monitored support channel, and authenticated contact-change process.
- Counsel must approve the service-message categories and the acknowledgment model under CAN-SPAM, state law, and provider requirements.
- Engineering must enforce message-purpose classification, guardian-recipient rules, suppression semantics, minimum-content templates, and revalidation immediately before sending.
- Operations must define bounce, complaint, failed-delivery, urgent-safety, and account-without-reachable-guardian procedures.
